IP addresses
Every computer connected to the Internet is given a domain name and a set of numbers, that serve as that computer's "Internet Protocol" IP address. The domain name and IP address reveal nothing personal about you other than the IP address from which you have accessed our Site. Bulk List Email Policy
A distinction is drawn between email sent to a single recipient and bulk email, i.e. email sent to a list. This policy applies to Email sent through a list processor.
Bulk Mailing Lists
The company keeps bulk mailing lists. Use of these lists is restricted to the IT department whose responsibility extends to the proper maintenance and management of such lists.
Private Citizens and Subjects
The company does not keep lists of the email addresses of private citizens or subjects of any country except in the following specific circumstances.
- The email address belongs to a client of the company and has been given freely for the purpose of communication in the normal course of the business of the company and client.
- The Email address was freely given at an event, exhibition, conference, or the like, at which the company was present in pursuance of its normal course of business.
Businesses
The company keeps lists of email addresses of business people based solely on their declared type of business and/or occupation and only where it relates to the business of the company. In all cases, records are kept with respect to the source of email address.
List Vendors
The company does not create business mailing lists and takes reasonable precautions to ensure they are purchased from reputable vendors who comply with the laws of the United States of America with respect to the provisioning of personally identifiable information.
List Security
All email sent to a list is processed by a list processor to ensure appropriate security of the address is maintained. All lists are deemed private and therefore can not be used by list members for inappropriate purposes.
All outgoing email is scanned prior to delivery for viruses and other known security risks. The list processor resides on a private network behind a port blocking firewall.
List Maintenance
The company makes list maintenance a high priority and is primarily interested in communicating with people and businesses that want to receive information. To this end, there are a number of routes to un-subscription from a list:
- Any email that is rejected by the receiving mail server is automatically removed from the list.
- Any mail returned to the list server via the return path is parsed to identify the email address and the list name, where upon it is removed from the list.
- A record is kept of problem addresses that can not be automatically un-subscribed and a manual effort is made to remove them.
- All email sent to a list contains an unsubscribe link that if activated by the recipient, will remove them from the list where the email originated. The recipient is notified of the status of this request; further, it does not require the intervention of a moderator to confirm this action, thereby handing membership control to the recipient.

If a message is rejected by the server specified in the MX record of the domain it will be automatically removed at that time and no further attempts will be made to deliver it. However, if the server accepts the message and relays it or sends it to a catchall account, the list server presumes it is a valid address.
All messages subsequently received back via the return path are parsed for "X-MDaemon-Deliver-To:" and "X-MDMailing-List:" (both specified in the original mail header) to determine the list source of the returned mail. If both are found, the address is automatically unsubscribed from the originating list. This process is successful with over 95% of mail returned on this path. The final 5% of returned mail is manually investigated in an attempt to locate its origin.
